Answering Service

Run

Every call answered by a person. Not a voicemail box.

A live answering service on your business line — calls answered in your greeting, messages delivered, leads captured, urgent calls escalated on your rules.

Typical stack

  • Twilio
  • Deepgram
  • ElevenLabs
  • Claude
  • HubSpot
  • ServiceTitan

Written for: An owner whose phone rings while they are already busy, and who loses the caller either way.

Who it is for

Is this built for a business like mine?

Built for businesses where a missed call is a lost customer.

An answering service earns its cost where the caller has an alternative one search result away. These are the businesses where that is true on every call.

What we see

The phone rings while you are under a sink. Answer it and the job takes longer; miss it and the caller rings the next company on the list.

What we build

Live answering in your business name with job details captured and dispatch-ready, so the call becomes a booking rather than a callback task.

The detail that matters

Capacity and drive time are modelled, so what gets booked can actually be done.

What we see

Reception is on one call while three patients wait at the desk, and the overflow goes unanswered.

What we build

Overflow and full-line answering with booking, rescheduling and confirmations handled off your front desk.

The detail that matters

Built to the data boundary you operate under, agreed during onboarding rather than after.

What we see

Bay capacity is perishable and sold over one phone line by an advisor who is also handing over keys.

What we build

Service booking and parts enquiries answered live, respecting bay, technician and parts availability together.

The detail that matters

Three constraints on one booking, or the desk books work that cannot be done.

What we see

Enquiries land while every agent is out showing property, and a lead answered an hour later is a different lead.

What we build

Immediate answering with qualification and routing, logged in your CRM before the agent is back in the car.

The detail that matters

Speed is the product. Qualification is tuned not to gatekeep the buyer worth the call.

And who it is not for

If your calls are long, technical and different every time, an answering desk will frustrate your callers. That line belongs in-house, and we will say so.

The problem

Do they understand what is actually going wrong?

The phone is a cost whether you answer it or not.

Answer it and the work in front of you stops. Miss it and the caller — who is comparing you against the next result — is gone before the voicemail finishes recording. Most small businesses solve this by accepting the loss, because the alternative is staffing a seat for a volume that arrives in bursts.

  • Calls arrive while the team is already occupied, so they are answered late or not at all.

  • Voicemail is left for callers who have three other numbers to try.

  • Nobody can say how many calls came in last Tuesday, or how many were missed.

  • A busy week produces four times the volume and the same number of people.

What we build

What exactly would I be buying?

A staffed line with a number on it.

What you buy is not a receptionist — it is an answer rate. Coverage across the hours you choose, an AI layer absorbing the predictable share instantly, trained people on everything else, and a service level reported weekly rather than promised once.

Answered, not queued

Concurrent answering means a burst of calls is answered simultaneously. There is no hold queue at the front of this.

The call finishes

Connected to your calendar, dispatch or CRM, so the call ends in a booking or a routed case rather than a message asking you to ring back.

Escalation by rule

What interrupts you is a condition you wrote — call type, caller value, an explicit request — not an agent guessing on the day.

Reported weekly

Answer rate, call reason and outcome by hour. The channel that was invisible becomes one you can manage.

How it works

How does this actually function?

What happens between the ring and the record.

The routing decision is made on arrival, which is why the answer rate holds when volume spikes.

  1. Ring

  2. Answer

  3. Qualify

    Escalate to you
  4. Act

  5. Write back

Answering is immediate and concurrent — the first ring, not the fourth.

Escalations carry the conversation so far, so the caller never repeats themselves.

Every call lands in your CRM, not in a portal you would lose access to.

What changes

What is different afterwards?

What is different afterwards.

The missed call stops existing

Coverage across the hours you choose, with concurrency so simultaneous calls are all answered rather than queued.

Answer rate by hour, including the hours you currently miss.

Calls end in bookings

System access means the call completes rather than generating a callback task nobody gets to.

Share of calls resolved on first contact.

The phone becomes measurable

Volume, reason, outcome and duration for every call — usually the first time this has been visible at all.

Call reason and outcome, categorised, for every call.

How we deliver

How does this start, and what do I get at each step?

Six stages, and every one has an exit.

You can stop after any stage with something useful in hand. That is the point of naming the artefacts rather than the activities.

  1. 01

    Call audit

We listen to your actual calls. Every answering desk that fails was designed from an imagined conversation.

    • Call type taxonomy from real recordings
    • Volume by hour and day
    • The call types we recommend never automating
  2. 02

    Script and rules

What is said, what is collected, and the exact conditions that put a call through to you.

    • Call scripts per type
    • Qualification criteria
    • Escalation rules, written by you
  3. 03

    Integration

Calendar, dispatch and CRM connected so the call can actually be completed.

    • Live availability integration
    • CRM write-back
    • Number routing configured
  4. 04

    Agent training

Named agents trained on your business, your tone and your escalation boundaries.

    • Trained agent team
    • Knowledge base
    • Call quality rubric
  5. 05

    Pilot

One call type first, recordings reviewed daily, with your team able to take over at any point.

    • Pilot recordings and review
    • Escalation rate by type
    • Tuned rules
  6. 06

    Run

Full coverage with weekly service level reporting and monthly call quality review.

    • Weekly answer rate report
    • Call quality scores
    • Monthly review

Who runs the desk

How does this start, and what do I get at each step?

Every desk ships with a lead and a QA function.

A pool of agents with no accountable owner is how outsourced quality degrades — slowly, invisibly, and then all at once. Four roles exist on every account, and the smallest engagement gets all four.

  • 01

    Agents

Trained on your product, your tone and your escalation boundaries, and assessed before they touch live work. Named and consistent on dedicated plans.

  • 02

    Team Lead

Accountable for the queue rather than working in it — coverage, SLA, escalations and the shift handover. One person you can name when something goes wrong.

  • 03

    QA

Samples completed work against a written rubric, independently of the lead. Disagreements between agents are treated as a defect in the knowledge base, not in the agent.

  • 04

    Account lead

Runs the weekly report and the standing review where the knowledge base actually changes. The person who tells you the number went the wrong way.

QA sampling rate and the review cadence are agreed during onboarding and reported weekly against target — including the weeks it was missed.

Questions

But what about the thing that worries me?

The questions people actually ask.

How does a small business answering service work?

You forward your line — all calls, overflow only, or outside chosen hours — and give us your greeting and instructions. Agents answer in your business name, take messages, capture lead details, answer approved questions and escalate urgent calls on the rules you set. Everything lands in your CRM.

Do I have to forward all my calls?

No. Conditional forwarding is the common arrangement: we answer only the calls your team misses, or only outside chosen hours, so your people still take calls when they are free.

Will callers get a script or a real conversation?

Agents work from your approved greeting and instructions but speak normally. A caller who can tell they are being read to has already decided how much your business cares.

What does an answering service cost?

It is priced against coverage and volume rather than headcount, and we size it from your real call data during the audit — so the comparison against a staffed seat is arithmetic rather than a promise. We do not publish a rate card because the honest number depends on your call mix.

Is this the same as your Voice Calls desk?

It is the same operation entered from a different direction. Voice Calls is the full operational engagement — inbound, outbound, overflow, with an SLA. This page is for businesses whose problem is specifically the unanswered inbound call. If you need outbound work as well, start there.

The other half

The system that answers before a person does.

The AI layer on this line is engineering we build as a product. Because we also staff the desk behind it, the threshold at which a call reaches a human is set where it belongs rather than where it makes a demo look good — a vendor with nobody behind the line has every incentive to set it wrong.
